ITS Interns kickstart Asset Management Improvements

In an effort to better understand the number of non-managed workstations within ITS, Interns Hannah Providence and Shaye Manton conducted analysis from December through February. Through their good work, important data was collected, including insights into equipment providers and warranty data, that will support a streamlined approach to asset management.

Over the course of three months, Hannah and Shaye ensured that System Center Configuration Manager (SCCM) data was utilized and merged with other sources, including Distributed Support Provider (DSP) records of equipment purchases for the last two to three years and a Workday report to capture all staff in ITS. Additionally, they contacted users and manufacturers to obtain additional data to update the file.

Their research provided helpful insights for the Finance and Administration team who oversee ITS’s hardware assets, including the following data points:

  • 770 computers are owned by ITS, with Lenovo (62%) and Apple (18%) being the top two manufacturers
  • 18% of ITS employees have a non-managed computer
  • 57% of ITS computers are under warranty, 17% are out of warranty
  • 26% of ITS computers have no warranty information

Moving forward, Finance and Administration is working with DSP’s to keep this information updated with each new computer purchase. Additionally, an asset management system will be developed in ServiceNow, through collaborations with Shared Services, to track hardware and software. An onboarding and offboarding process for hardware will be created with the ITS management team to deploy equipment more quickly. Finally, a centralized hardware asset storage location, organized by department and person, will be developed.
