COA Closures and Reorganizations Resume in October

As noted on the Chart of Accounts (COA) website, segment closures and cost center reorganizations do not take place during the year-end period close (June-September) to accommodate system requirements. Such closures and reorganizations resume with the September month-end close in calendar October. In this message, the COA team shares reminders regarding submissions, process and deadlines.

Segment Closures – Now that units have completed their portion of the FY2020 financial close, the COA team asks that University departments determine whether they have obsolete segments to close. Please place a special focus on segments like Project and Assignee.

  • The full list of project segments can be found in the “Segment Values” section of the COA website.
  • The full list of assignees can be found through a Workday report (link and instructions here) or linked through the “Segment Values” section of the COA website.
  • To start the closure process, please complete the COA Closure Checklist and send to coa@yale.edu for review and processing.
  •  Departments may resume sending closure requests effective immediately.
  •  Due to the high volume typically experienced when closures resume, please submit your requests by Monday, September 28.

Cost Center Reorganizations – COA has continued to accept requests for cost center reorganizations during the June-September “on hold” period.

  • All forms and instructions for requesting cost center reorganizations (and any other COA requests) can be found on the “Request Forms” section of the COA website.
  • COA will coordinate with all reviewers and downstream system/reporting owners (such as YBT, the long-range plan, and DataMart). Please ensure that any requests for the September month-end close in calendar October are received in COA by Friday, September 18.

As always, closures and reorganizations only occur on the day after the month-end system close. Consistent use of the COA on transactions is crucial to enable consistent and meaningful reporting for faculty, staff, University leadership, and external users.
