3504 PR.01 Entering Travel and On-Call Time

Overview

Nonexempt employees must be paid for travel time and on-call time in accordance with Policy 3504 Compensation for Travel Time and On-Call Time.   This compensable travel time or on-call time must be reported by the employee or the person responsible for reporting the employee’s time, in the appropriate timekeeping system.  This procedure states the steps involved in properly recording compensable travel time and on-call time for the two categories of nonexempt employees:  (1) overtime-eligible Managerial and Professional (M&P OTE) employees and (2) all other nonexempt employees.

Nonexempt Managerial and Professional (M&P OTE) Employees

To properly report compensable travel time or on-call time, the M&P OTE employee must:

1. Enter the compensable travel time or on-call time on their My Time time card as “Other Paid”.

2. Add a Comment to those Other Paid hours, choosing either “Travel Pay” or “On Call Pay”.

Note: Employees who have both travel time and on-call time to report on the same timecard should indicate those hours on separate lines, to enable choosing the appropriate comment for each entry.

3. In order to be paid for the overtime travel time or on-call time, submit the overtime hours on the Temporary Employee Payment Request form (Form 3501 FR.05).  The business office will then enter the hours into the Oracle Student and Casual Time Entry system.  

All Other Nonexempt Employees

All other nonexempt employees include Clerical and Technical (C&T), Service and Maintenance (S&M), Yale Police, and Yale Security employees.  These employees, or the people responsible for reporting the employees’ time, must

1. Enter the compensable travel time or on-call time on the employee’s My Time time card as “Other Paid”.

2. Add a Comment to those Other Paid hours, choosing either “Travel Pay” or “On Call Pay”.
