Receiving

Transport, Receiving and Storage has seven receiving stations around campus and takes in over 100,000  packages each year.

All individuals (shippers) requesting or making shipments for which Yale is responsible must do so through Yale’s approved shipping application (eShipGlobal), except for intra-campus shipments, as detailed below.  Shippers who fail to use Yale’s approved shipping application, without first receiving an approved exception (see Special Situations & Exceptions, below), will not be reimbursed for costs incurred.  Violations of this policy involving a University Purchasing Card (PCard) are subject to the provisions of Policy 3215 Yale Purchasing Card and Procedure 3215 PR.01 Yale Purchasing Card Procedure, including all pertinent disciplinary measures.

All shipments for which Yale is responsible must comply with the following regulations:

Intra-Campus Shipments

Intra-campus shipments include all shipments between Yale locations (e.g., West Campus, Medical, Science Hill).  Intra-campus shipments are not required to be processed through Yale’s approved shipping application (except for those involving research/clinical materials, as described below).  Instead, intra-campus shipments should be arranged directly through Yale Transport, Receiving & Storage (TR&S) or a specialty mover.  Shippers should use their best judgment (assessing size, value, and any other relevant considerations) in deciding whether to utilize these services or transport goods by other means (e.g., on foot, personal vehicle).  Shippers must not use common carriers (e.g., UPS, FedEx, DHL, World Courier) for intra-campus shipments.

Yale Central Campus Receiving

The Central Receiving Station is responsible for receiving any Yale authorized shipment and to redeliver or arrange for redelivery by a specialist contractor within the Yale community including the “Central”, “Science” and “Medical School” areas. Except for the months of August and September, most shipments are scheduled for redelivery the following workday. Many receiving stations at Yale are not equipped to handle larger shipments. When they are mistakenly routed to one of those receiving stations, the shipment must then be rerouted to Central Receiving for processing.

We are not equipped to receive: foodstuffs, certain hazardous materials, live animals, certain chemicals and gas cylinder shipments.

Personal Packages

The University is not responsible for loss or damage to personal packages or mail addressed to any of its employees at a Yale facility. In order to avoid a possible financial loss, it is strongly recommended that such items be mailed or shipped to the employee’s home or to a friend or relative. (Personnel Policies and Practices Manual, Section 604.3)

Science Hill Receiving

The main responsibility of the Science Hill Receiving station is to receive and deliver shipments addressed to 266 Whitney Avenue, New Haven, CT 06511, for the departments located in the buildings of: Bass, OML, Kline Towers, YSB, Wright Lab, Marx Library, SCL-Chemistry, and SPL-Physics. Mail should be addressed to departments who have a registered PO Box and will be delivered daily.

Location

The Science Hill Receiving station is currently located on the ground level of the Bass Building, Room #109A, 266 Whitney Avenue, New Haven, CT 06511 and is staffed by Maurice Fuller and Marvin Wint, they are always eager to answer your delivery questions.

If shipments are found left on the dock exterior or in the hallways, etc., our staff will attempt to process these shipments, but they cannot be responsible for any claims.

Personal Packages

The West Campus Storage and Receiving facility has over 240,000  square feet of warehouse space to provide the Yale community with safe, secure, orderly, and economical storage space. This facility is located in building #750 at the Yale West Campus facility in West Haven, CT.

Receiving

All items are received through building #750 facility on the West Haven side of campus, and then delivered daily to the individual buildings on West Campus.  For questions, please call 203-737-3081.

Storage

TR&S will provide pick-up and retrieval service with a move request. and ensure storage that is safe, heated, dry and protected. Rates for the move could be as low as $55.00 an hour. The cost to your department for Storage can be as low as $44 per month or .65¢ per square feet per month for storage space.

Any department wanting to store materials at West Campus must fill in and sign a storage contract. The contract must indicate storage end dates for all materials.

Effective Monday, April 1st, 2024, all package shipments under 75 pounds, for YALE departments of 100 College St, will have the delivery address changed from 200 South Frontage Road to 100 College St. YALE TR&S will begin staffing 100 College to receive, sort and deliver packages throughout the building. TR&S staff will be onsite, Monday through Friday from 8:00 am to 3:00 pm.

Please note the following instructions for changing shipping instructions and notations regarding heavy, bulk deliveries (i.e., lab equipment, centrifuges, refrigerators/freezers, incubators, etc.)

Please note that these packages will require a scheduled delivery by TR&S staff and the following RFS must be completed.

Chain of Custody

TR&S staff will receive/process all deliveries through our software, Beartracks and make deliveries daily to the departments. Items undelivered will be returned to the loading dock area and secured for the next delivery day. Any perishable items that are not deliverable, will be stored at 200 South Frontage Road.

US Mail

At this time, US Mail will remain the same. If your department has a registered PO Box you will continue to pick up your mail at 333 Cedar Street – Sterling Hall of Medicine C Wing E Level Room 2 (SHM CE 2). Outgoing mail with postage as well as interoffice campus mail can be left in the Medical School Mailroom at 333 Cedar Street – Sterling Hall of Medicine C Wing E Level Room 2 (SHM CE 2). Outgoing mail without postage may use TR&S Courier Service to pick up and deliver that mail to YPPS for postage payments.
