Sprintax Calculus

Yale University is launching Sprintax Calculus, a secure, cloud-based software product for nonresident alien tax compliance. Effective immediately, Sprintax Calculus will replace the university’s Foreign National Information System (FNIS) for determining your U.S. tax residency and tax treaty eligibility.

While Sprintax Calculus is being provided to assist in determining your U.S. tax residency and treaty eligibility, you are individually responsible for verifying that the correct information has been entered into the Sprintax Calculus software and included on all forms and/or other documents printed or derived from the tax software, and ultimately responsible for any errors or omissions.

If you are a non U.S. citizen or non U.S. permanent resident and will receive payments from Yale University and you have not received an email from Yale@sprintax.com, please contact internationaltax@yale.edu to request access to Sprintax Calculus.

Once you receive an email from Yale@sprintax.com, please follow the steps, below to access Sprintax Calculus:

  1. Visit the Sprintax Calculus site.
  2. Select Yale University from the list of institutions and press Continue.
  3. You will be directed to Yale University’s Authentication page (i.e., CAS login).
  4. Enter your Yale University net id and password.
  5. You will be directed to the Sprintax Calculus platform (*)

(*) Note: Sprintax Calculus requires multi-factor authentication (“MFA”) to provide you with the ability to e-sign tax documents. Once MFA is activated, you will be prompted for an MFA authentication code to access your Sprintax Calculus account. Please refer to the Sprintax 2FA Guide and the Sprintax 2FA Video for additional information.

About Sprintax

Yale is partnering with Sprintax to provide tools to assist with U.S. tax withholding and reporting on payments to non-U.S. citizens and non-U.S. permanent residents (i.e., green card holders). Sprintax offers two separate applications – Sprintax Returns and Sprintax Calculus.

Sprintax Returns is a tool available to assist foreign nationals with the preparation of their annual U.S. individual income tax returns. Please visit OISS Sprintax Returns to learn more about the Sprintax Returns.

Sprintax Calculus is a secure, cloud-based software product for nonresident alien tax compliance. Sprintax Calculus will assist non-U.S. citizens and non-U.S. permanent residents in determining their U.S. tax residency and tax treaty benefit eligibility. The university requires this information to ensure compliance with the U.S. tax reporting and withholding requirements on payments made to foreign nationals.

No. The Sprintax Calculus account is offered free of charge for Yale international students and scholars. If you are prompted to pay a fee in Sprintax Calculus, please contact internationaltax@yale.edu.

Access to Sprintax Calculus

Yes. If you are a non-U.S. citizen or non-U.S. permanent resident (i.e., green card holder) and will receive payments from Yale University, please refer to “Accessing Sprintax Calculus” above.

Individuals Required to Complete a Sprintax Calculus Profile

Non-U.S. citizens or non-U.S. permanent residents (i.e., green card holders) who receive U.S. sourced payments (wages, fellowships, scholarships, non-qualified scholarships, honoraria, fees for independent personal services) from the university must complete a Sprintax Calculus profile.

No. If you are a U.S. citizen or green card holder and received an invitation from Yale@sprintax.com, you are not required to complete a Sprintax Calculus profile. Instead, please update your citizenship and/or primary nationality in Workday. Please refer to Workday instructions or contact the university’s Employee Services Center to update your personal information in Workday (i.e., primary nationality, citizenship status).

Yes. If you are a non-U.S. citizen or a non-U.S. permanent resident (i.e., green card holder) receiving payments (other than qualified tuition) from Yale University, you must complete and update your Sprintax Calculus profile.

Certain basic information will be pre-populated in your Sprintax Calculus profile; please review and update this information, complete the profile, and provide the requested information, including prior immigration status and prior dates of presence in the U.S. for purposes of determining your U.S. tax residency.

Sprintax Calculus will not impact your calendar year 2024 income tax filing process.

IRS Form 1042-S Consent

If you consent to receive your annual IRS Form 1042-S electronically, Yale will not be required to separately mail you a paper copy of the form to your address on file. You will receive an electronic copy by March 15th following the calendar year of payment.

Completing and Updating Your Sprintax Calculus Profile

Yale University is required to comply with United States immigration and U.S. tax reporting and withholding requirements with respect to payments made to non-U.S. individuals and entities. To assist the university in complying with these requirements, please complete your Sprintax Calculus profile. You will also be required to upload certain tax forms and immigration documents based on your visa and residency status.

Please complete your Sprintax Calculus profile prior to receiving payments (other than qualified scholarships) from the university.

The university will send you an annual reminder to update your Sprintax Calculus profile each December.

Sprintax Calculus Profile - Steps (*)

  1. Access your Sprintax Calculus Account. Refer to “Accessing your Sprintax Account” above.
  2. Review, update, and enter the requested information in your Sprintax Calculus profile tabs (i.e., Residency, Personal Data, Contact Details, Tax Forms Info, Tax Treaties (if applicable)).
    • Note: When your record is initially created, certain information will be populated in your Sprintax Calculus profile. Carefully review and update the information, starting with the Residency tab.
    • Click on the Save and Continue button after you make changes.
    • Sprintax Calculus will guide your through the next steps.
    • Fields with the symbol * are required fields and must be completed.
  3. Review, sign, date and submit any tax forms and statements, including the Sprintax Tax Summary in the “Tax Forms” section of Sprintax Calculus.
  4. Upload all required documents (e.g., a copy of your visa, passport, I-20/DS-2019 form) listed in the Document Exchange section of Sprintax Calculus.
    Information provided to Sprintax Calculus is stored securely and will only be used by the International Tax Office for purposes of U.S. tax withholding and reporting.

Important: Please confirm your Sprintax profile is complete, and all required documents and tax forms are signed and uploaded. Once the profile is complete and documents and tax forms are submitted, the International Tax Office will review the documents, approve tax forms, and contact you with any questions.

No. Please complete your Sprintax Calculus profile upon receiving an email from Yale@sprintax.com. You should update your Sprintax Calculus profile when you receive your SSN. You should also update your SSN in Workday. Please refer to “How to Update your SSN in Workday” for guidance.

The university will send you an annual reminder to update your Sprintax Calculus profile each December.

Updates to your personal status, including immigration status, residency, certain personal information, and obtaining a U.S. social security number (SSN) or Individual taxpayer identification number (ITIN) may impact your U.S. tax status. In addition to the annual update, please update your records in Sprintax Calculus immediately to record any changes in your personal status.

  • Examples of changes that should be reflected in your Sprintax Calculus profile include.
  • Extensions in your immigration status
  • Changes in the type of income you will receive from Yale University
  • Obtaining a new SSN or ITIN
  • Changes in your country of residency or permanent address

If an update to your Sprintax Calculus profile results in a change to your tax status, you may be required to sign and submit updated tax forms and upload updated immigration documents via Sprintax Calculus document exchange for review and processing by the university’s International Tax Department.

Important Reminders:

  • If you receive an SSN or ITIN, please update your record in Workday. Please refer to “How to update your Social Security Number”.
  • If you update your Sprintax Calculus profile, do not delete any historical information within Sprintax Calculus.

Please update Workday with your mailing address. “Workday: How to change your address” and update your Sprintax Calculus profile with your updated mailing address.

Sprintax Calculus will list the required documents in the Document exchange tab.

The specific documents you will need to provide depend on your individual situation.

Copy of your Visa Not all international payees will have a visa. If you are on an ESTA/VWP, please provide a copy of your approval from the online system. Canadians should provide a copy of their passport and Form I-94.
Copy of your immigration documents (See Visa Definitions for additional immigration status) The type of documents will depend on your immigration status. For example, J Visa holders are issued Form DS-2019, and F visa holders are issued a Form I-20.

Form DS-2019, Certificate of Eligibility for Exchange Visitor Status: This form is generated by the Department of Homeland Security’s system SEVIS (Student & Exchange Visitor Information System) and is provided by your sponsoring institution.

Form I-20, Certificate of Eligibility for Nonimmigrant Status: A designated school official (DSO) issues this form to an F or M nonimmigrant after the student receives acceptance to a Student and Exchange Visitor Program-certified school. A Form I-20 identifies the F or M nonimmigrant (student or dependent) and the DSO, as well as other essential information, such as the school and the program of study.

Form I-94, Arrival/Departure Record. Created electronically upon arrival to the United States. The I-94 record is your evidence that you entered the U.S. legally, so it is important to always keep the most current printed version with your passport.

Sprintax Calculus will automatically generate the U.S. tax forms you need to sign and submit. Sprintax Calculus permits individuals to electronically sign and submit their tax forms for the university’s review. Alternatively, individuals can print, sign, scan and upload signed documents into Sprintax Calculus’ Document Exchange.

U.S. Tax Forms that may be required:

IRS Form W-8 BEN, Certificate of Foreign Status of Beneficial Owner for United States Tax Withholding and Reporting (Individuals) Form W-8BEN is used by nonresident individuals to attest to their foreign status. The form can also be used to claim tax treaty benefits for certain types of income, such as non-service fellowship income and royalties.
IRS Form 8233, Exemption from Withholding on Compensation for Independent (and Certain Dependent) Personal Services of a Nonresident Alien Individual Eligible individuals use form 8233 to claim tax treaty exemption from compensation for dependent or independent services.
IRS Form W-4, Employee’s Withholding Certificate Provides Yale information needed to determine how much federal income tax to withhold from an employee’s pay. Nonresident aliens must follow specific instructions when completing this form

If you are eligible to claim a tax treaty benefit, there are two ways to claim a tax treaty benefit. You can claim the benefit at the time you file your U.S. individual income tax return, or the university can apply the tax treaty exemption directly to payments made to you by the university throughout the year.

Your eligibility for a tax treaty benefit will be determined once you have completed your Sprintax Calculus profile and uploaded the required documents. To grant the benefit, information in your profile must be completed, and all documents must be signed, uploaded, and reviewed by the International Tax Office.
