Staff Accommodations Program

In accordance with the Americans with Disabilities Act, our program is responsible for the provision of reasonable accommodations for staff with documented disabilities at Yale. Our program is co-sourced with The Harford, which also administers our life, disability and leaves of absence program. Staff may submit a request or call 203-432-5552 option 1.

SAP also manages all requests for Staff who may need a reasonable accommodation under the Pregnant Workers Fairness Act. Staff may submit a request under the PWFA.

Please note: In accordance with PWFA, all pregnancy-related requests do not need medical documentation at time of request.

Staff of Yale including M&P, C&T, SM, Security & Police who have a disability, or are returning from a leave of absence with a limitation or restriction* may request a reasonable accommodation.

*Faculty, psychiatry residents, postdoctoral and postgraduate associates and fellows should apply with OIEA.

A reasonable accommodation is any adjustment to a job, work environment, work policy or practice that would help a person with a disability:

  • perform their job duties
  • enjoy the benefits and privileges of employment equal to those enjoyed by individuals without disabilities

Examples of a reasonable accommodation:

  • Assistive technology
  • Flexible work arrangements
  • Adjustments to workplace policies
  • ASL Interpreter/CART Services
  • Job restructuring
  • Shaving Waiver
  • Accessible Transit Program

After you have submitted the request form and The Hartford has received your medical documentation from your provider, your case may be referred to Yale’s Accommodations team. In some cases, as equipment requests, The Hartford will continue to handle the case. When a request is specific to a Yale policy, procedure or bargaining agreement, a Yale Accommodations team member will reach out to you, your department manager and HR Business Partner to facilitate what is referred to as the “interactive process” component of the ADA. Once the interactive process is completed, a resolution to your accommodation request is communicated to you by a member of the team and by a formal letter from The Hartford.

The interactive process includes a discussion with everyone involved – you, the employee, to understand your needs and restrictions, and your manager and HR Business Partner, to assist in identifying what reasonable accommodations might be necessary.

An accommodations review depends on many variables:

  • the timeliness of provider documentation
  • the availability of you, your manager and HRBP
  • a review and discussion of reasonable and effective accommodation options

Still have questions? Submit a ticket through the Employee Service Center and a member of our team will assist you.
