Hotel PCard Billing Process

Follow this process to set up PCard billing at Yale’s preferred hotels in New Haven:

  • After booking the reservation for your guest, whether through World Travel/Concur, the hotel directly, or the internet, you can use HotelDirectBill to provide the hotel with the required information for the PCard billing.
  • By selecting the hotel from the provided drop-down menu, the hotel will be notified directly via email. You will be copied on email for your records. 
  • The hotel will have your contact information in case they have any questions, and to confirm the PCard billing to you.

Yale University Policy 3301.4 on Lodging

Travelers should choose a reasonably priced hotel with a single occupancy rate See Procedure 3301PR.01 Travel Arrangements for University Business for details.

Actual hotel expenses will be reimbursed. Federal per diem rates should not be used for lodging. Please refer to Section 3301.8 for information on sales tax exemptions on hotel charges.
