Temporary Employee Hiring Process

Employees hired for a period of less than six months are required to be hired on a temporary requisition. For instructions on how to fill out a temporary requisition, view the Job Requisitions guide.

The individual filling out the STARS requisition will select “Temporary/Casual” for the type of job requisition they are submitting

The selection the department makes should match the type of requisition selected in the Workday “Reason for Creation: of the requisition. For example, a Temporary/Casual requisition type should have a Temporary reason for creation. 

C&T temporary requisitions default to the Local 34 bargaining unit and need to be changed manually to “None”.

Once your requisition is approved in Workday, and your job posting information is completed and approved in STARS, your temporary requisition will follow three different paths, depending upon the job category:

Clerical and Technical

  1. The STARS job posting is received by the Supervisor for the IEP. If there is an appropriate candidate(s) available, their resume(s) will be emailed to the hiring manager, and/or primary departmental contact for review and possible interview.
  2. If no appropriate members of the IEP are available, the requisition seamlessly transitions to YTSS. Members of the YTSS program are referred to fulfill the departments’ need. 
  3. If no appropriate members of YTSS are available, the requisition transitions to the NHW program. Members of NHW are referred to fulfill the departments’ need.
  4. If there is neither an IEP, YTSS, or NHW member available to fulfill the temporary assignment, an authorization number and application link will be issued to the primary departmental contact.
  5. This link should be forwarded to your candidate of choice for hire. It will bring them directly to STARS to submit their application materials.
  6. Once the candidate completes their application through STARS, the primary contact will receive a notification from automationmanager@brassring.com with a link to the Temporary Data Collection Form for completion. This form provides final information about the temporary assignment, such as start/end date, and pay rate. Pay rates for temporary employees should be set at the minimum of the grade of the appropriate job family, and associated Yale job title.
  7. Upon completion of the form, click the ‘Submit’ button. Selecting ‘Submit’ will prompt a notification to the Staffing office that the form has been returned and is ready for processing.
  8. Once the temporary data collection form is processed, your candidate of choice will then receive an email from the background check vendor to begin the background check process. All temporary workers must successfully complete a background check prior to starting their assignment at Yale.
  9. The primary contact on the STARS job posting will receive an email notification once the background check is complete. This serves as notice to finalize the arrangements with the selected candidate to begin the assignment.
    The selected candidate will receive an auto-communication reminding them of their pay rate, and informing them to complete their necessary I-9 and tax documents.
  10. Once your temporary worker has been set up in Workday, the Hiring Manager and Lead Administrator will receive email notification from the IT department, regarding Net ID and PIN information.

Managerial, Professional, C&T Excluded

Departments may source their own temporary workers for Managerial, Professional and C&T Excluded positions. 

  1. An email communication will be sent to the Primary Departmental Contact listed on the STARS job posting. This communication will contain a link that provides access to the temporary job application.
  2. This link should be forwarded to your candidate of choice for hire. It will bring them directly to STARS to submit their application materials.
  3. Service and Maintenance

Temporary Service and Maintenance requests are submitted to the Talent Acquisition Partner who specializes in that recruitment.
