Workday and Outlook notifications: missing/expired I-9 forms

Effective Monday, March 18, faculty, staff and student workers will receive notifications to their Microsoft Outlook email accounts regarding missing and expiring/expired I-9 forms. This emailed notification will be identical to the message sent to the employees’ Workday Notifications; it includes instructions for completing the form and a link to the list of I-9 Center locations on campus to visit for I-9 review and approval.

Employees with expiring/expired I-9s will receive notifications at the following milestones:

  • Expiring in 4 months
  • Expiring in 2 months
  • Expiring in 30 days
  • Expiring Today
  • Expired (sent every weekday until the I-9 is reverified or a new I-9 is submitted and approved)
  • Employees with no I-9 on file will receive notifications at the following milestones:
  • Missing and hired 3 days ago (e.g., sent on Thursday after a Monday start date)
  • Missing and hired more than 3 days ago (e.g., sent on Friday after a Monday start date, then sent every weekday until the I-9 is submitted and approved)

    Note: Employees Manager, Business Partners, Strategic Business Partners, HR Partners, Department HR Support Specialists, and Academic HR Support Specialists will continue to receive missing and expiring/expired I-9 notifications in Workday. Please be advised to check your Workday Notifications on a regular basis.
