Year end schedule and guidance for Account Holder by Person and Financial Activity and Balances reports

To support year-end processing for fiscal accounts using a non-grant budget, multiple report events will be run.  Fiscal accounts will be “held” in May/June, and accounts using grant budgets will advance as normal into June/July. Since the Financial Activity and Balances (FAB) report only includes fiscal budgets, the entire report will be impacted.

The reporting events are as follows:

Monday, July 13, 2020 – First Month-end event

• Account Holder by Person
  • Grants:  Last Closed Month = June; Current Open Month = July
  • Non-Grants:  Last Closed Month = May; Current Open Month = June
• FAB
  • All accounts:  Last Closed Month = May; Current Open Month = June
  • Commitments/Obligations for payroll allocations with a Grant worktag (Grants and cost-sharing accounts) will be shown through the end of the current budget period, even if that budget period includes FY21.

Monday, July 20, 2020 – Second Month-End event

• Account Holder by Person
  • Grants:  Last Closed Month = June; Current Open Month = July
  • Non-Grants:  Last Closed Month = May; Current Open Month = June
•  FAB
  • All accounts:  Last Closed Month = May; Current Open Month = June
• Commitments/Obligations for FY21 will exist for all payroll allocations and will be shown where reports reflect FY21 activity.  Where reports reflect only FY20 activity, only manual commitments will remain.  All open procurement commitments/obligations as of 6/30/2020 will have been rolled forward into FY21. 

Monday, July 27 – Third Month-End event

• Account Holder by Person
  • Grants:  Last Closed Month = June; Current Open Month = July
  •  Non-Grants:  Last Closed Month = June; Current Open Month = July
• FAB
  • All accounts:  Last Closed Month = June and Current Open Month = July
• Opening balances for FY21 will be reflected on these reports.
