Mass closure of fully paid purchase orders November 13, 2023

Procurement plans to perform a mass closure of fully paid purchase orders (P.O.s) on November 13, 2023. This closure will apply to fully paid POs with no activity in the past nine months.

If you would like to review a list of the fully paid POs closed after November 13, run the following Workday report with the criteria listed below.

• Workday report:  Find Purchase Orders by Cost Center – Yale
• PO Status = Closed
• Payment Status = Fully Paid
• Last Functionally Updated On or After = Nov 13, 2023
• Exclude Closed = Uncheck box

Mass closure of inactive purchase orders November 16, 2023

Procurement will perform a mass closure of inactive P.O.s on November 16, 2023.

This closure will apply to POs dated 15 months prior, that have no activity in the past 12 months and have a PO value of less than $10,000. Excluded from this mass closure are POs using spend categories for service, asset, MEI, and software. 

If you would like to review the inactive POs closed after November 16, run the following Workday report with the criteria listed below.

• Workday report:  Find Purchase Orders by Cost Center – Yale
• PO Status = Closed
• Document Date= On or before 6/30/2022
• Last Functionally Updated On or Before = November 16, 2023
• Exclude Closed = Uncheck box

If a purchase order with infrequent activity was closed and must be reopened, submit a case to the Purchasing Intake Portal to reopen the PO.
