Important: Save your Zoom recordings before Jan. 2024

December 13, 2023

Summary

  • On Jan. 15, 2024, Yale will limit how long we save Zoom recordings to 13 months.
  • Possible action required: Please prepare early to ensure you don’t lose any recordings you wish to keep.
  • Recordings made on or before Dec. 16, 2022, will be deleted on Jan. 15 when this change is made.

Details

On January 15, 2024, Yale plans to change the policy for how long Zoom recordings are saved.

  • The system will keep recordings stored within Zoom for 13 months (395 days) from the creation date.
    • Zoom recordings stored outside of Zoom will not be deleted by this change.
  • Expired recordings will be automatically moved to your Zoom trash folder and permanently deleted after 30 days.
  • All recordings made on or before Dec. 16, 2022, will be deleted on January 15, 2024. This policy will pertain to all newer recordings as well, so as recordings age, it’s important to move them out of Zoom if you intend to keep them.

Possible action required

To save your recordings before they are deleted:

  • Microsoft Stream is available to all Yale community members and allows extended retention of Zoom cloud recordings. Placing Zoom videos into SharePoint, OneDrive, or Teams makes them visible through the Microsoft Stream interface.
  • Check with your department for alternative Zoom storage solutions that may be recommended for your area. Contact your local IT support professional for guidance.
  • Instructors seeking assistance with course video retention should contact the Poorvu Center at askpoorvucenter@yale.edu.
