Hardware Asset Management launches on May 24

In a significant move aimed at enhancing operational efficiencies and asset tracking, the ITS Service Management team is set to launch a new Hardware Asset Management system on May 24. This collaborative initiative, which includes but is not limited to the Faculty of Arts and Sciences (FAS), School of Nursing (YSN), and School of Medicine (YSM), aims to enhance the management and security of hardware assets across multiple departments.

Understanding Hardware Asset Management

Hardware Asset Management (HAM) involves managing the physical components (hardware) of computers and computer networks from acquisition through disposal. This process helps organizations track their hardware assets to maximize their use and manage the end-of-life of hardware securely and efficiently. Effective HAM ensures that assets are utilized effectively, reducing the total cost of ownership while enhancing the organization’s performance and compliance.

HAM includes tasks such as tracking hardware assets, managing inventory, ensuring compliance with licensing agreements, and managing financial records related to hardware. This process not only helps reduce the purchasing of unnecessary equipment but also aids in better forecasting for future asset needs and upgrades.

New form: Report a Lost or Stolen Device

With the implementation of the Hardware Asset Management system, the service management team is also deploying a new form titled “Report a Lost or Stolen Device.” This form is a critical component of the initiative, designed to tackle the challenges of managing and securing hardware assets.

The deployment of this form will enable a streamlined process for reporting lost or stolen assets, ensuring quick response and appropriate measures to mitigate any potential security or operational impacts.

Anticipated benefits and impact

The introduction of the Hardware Asset Management system and the new reporting form will provide numerous benefits. These include enhanced visibility and control over hardware assets, improved compliance with data protection regulations, and increased awareness and preparedness for loss prevention. Additionally, this initiative will support Yale’s sustainability goals by promoting responsible asset reuse and recycling.

The service management team, and its partners at FAS, YSN, and YSM, are committed to providing comprehensive training and support to ensure the smooth adoption of the HAM system and the new procedures. This training will include detailed instructions on using the HAM system and guidance on effectively utilizing the “Report a Lost or Stolen Device” form.
