Below is a summary of university-wide news and workplace information for you to reinforce with your teams during staff meetings or via email updates:
 
Send holiday greetings
It just takes a moment to select the new holiday Ycard and send a message to your team members as we work our way toward recess and the new year. Note that your holiday cheer will immediately be sent to your colleagues by email. Use the address book feature to quickly find a staff member’s email address.
 
Tracking health requirements just got easier 
Health On Track, the university’s new self-service system for tracking health requirements, will launch on January 29, 2024. Health On Track will manage current school or job-related health requirements and allow Yale to provide a safe environment for everyone who lives and/or works on campus. These requirements may include vaccinations, tests, or examinations and vary depending on your role at Yale. They may be related to safety or labor laws, or university policies. 
 
The new system will launch on January 29th for employees and students with job-related health requirements, and later in the spring for all students. Scroll down to read full message.*
 
Explore Belonging at Yale resources
Throughout 2023, students, faculty, staff, and alumni participated in monthly engagement opportunities and contributed to Yale’s commitment to diversity, equity, and inclusion. Continue exploring Belonging at Yale resources and be curious about how we’re progressing—together. 
 
Encourage participation in Yale-United Way
Now through December, promote the United in Purpose campaign. Encourage participation through donations, volunteering, and fundraising events.
 
Remember these dates
The ESC will be open the following days during winter recess. An email will go out closer to recess. The I-9 office and welcome desk will be closed for recess.

Find below the schedule for creating and posting STARS job requisitions, processing temporary employment requests, and extending offers to candidates before and after the 2023 holiday recess period:
Monday, November 27
Last date Talent Acquisition can accept approved L35 job requisitions to meet the posting deadline of November 29 (removed as of December 12).
Monday, December 4
Last date Talent Acquisition can receive STARS job postings for auditing to meet the posting deadline of December 8 (all positions other than L35).
Last opportunity to submit Temporary Data Collection Forms, via STARS, for the processing of temporary workers before the recess period.
Friday, December 8
Last date Talent Acquisition can open a job requisition which will post to the applicable gateway(s) on the next calendar day.
Friday, December 15
Last date that Talent Acquisition can extend offers prior to the recess period.
Tuesday, January 2
First day Talent Acquisition can open a job requisition for 2024, which will post to the applicable gateway(s) on the next calendar day (all positions other than L35).
Wednesday, January 10
First L35 job requisition posting date of 2024 (deadline submission date of January 9 by noon).

Health On Track, the university’s new self-service system for tracking health requirements, will launch on January 29, 2024. Health On Track will manage current school or job-related health requirements and allow Yale to provide a safe environment for everyone who lives and/or works on campus. These requirements may include vaccinations, tests, or examinations and vary depending on your role at Yale. They may be related to safety or labor laws, or university policies.

The new system will launch on January 29 for employees and students with job-related health requirements, and later in the spring for all students. Ultimately, Health On Track will manage all health requirements for faculty, staff, employees, researchers, and students.

  • Training will be available in January including video demos and user guides.  
  • Health On Track will manage health requirements previously done through the Training Management System (TMS) and the Medicat vaccine portal. Training requirements will be managed separately in Workday Learning. 
  • Health On Track and Workday Learning implementations are aligned to ensure a smooth transition from TMS. 

New interfaces and workflows for managers

As a manager, you will have access to improved information and tools to help your employees be compliant with health requirements. Health On Track explains how requirements are assigned and can be fulfilled. You will have the ability to ask questions of the Campus Health Team within the application.

  • Managers can see all health requirements and compliance status for their employees on demand in the ‘Command Center’ application.
  • Managers will receive automated reports for employees who have health requirements which are due or overdue. Employees will also receive automated reminders of upcoming or overdue requirements.
