Upcoming changes to the amount of time Yale will retain Zoom recordings

October 14, 2021

Important changes are being made to the amount of time Yale will retain Zoom recordings. Please take the appropriate actions now to ensure you retain access to your critical recordings. The IT support teams are here to assist as you take the steps to extend retention of your Zoom cloud recordings.

Effective November 1, 2021, Yale University will implement a new cloud storage retention policy for all Zoom recordings.

  • Recordings will be kept for two years from the date of creation.
  • Expiring recordings will be placed in your Zoom trash folder and permanently deleted after 30 days.
  • The change is retroactive. For example, recordings made on or before Friday, November 1, 2019, will automatically be moved to the Zoom trash folder on November 1, 2021.

In the fall of 2023, the retention period will be reduced to 120 days.

However, you can take action now to keep recordings longer than two years.

  • For extended retention of your Zoom cloud recordings, Microsoft Stream is available to all Yale community members. Microsoft Stream is the ITS-supported enterprise video service for uploading, viewing, and sharing videos securely. Videos across Microsoft 365 applications such as SharePoint, OneDrive, and Teams will be available through the Microsoft Stream interface.
  • Your department may have an alternative recommended solution for the extended retention of your Zoom cloud recordings. We suggest you contact your local IT support professional for guidance.
  • If you are an instructor who has questions about your course video materials, please contact the Poorvu Center at askpoorvucenter@yale.edu.
